Voting Delegates
Congregational Delegates
Every affiliated congregation in good standing is entitled to a specific number of delegates who can vote at the meeting. The number of delegates is determined by the number of certified congregation members. Each congregation may send as many participants to the conference as desired, but only the delegates accredited on the Web site will be able to vote. All conference participants including delegates should complete a Registration to attend the Annual Conference.
Procedure for accrediting congregational delegates:
- The congregation should select its delegates according to its bylaws.
- An officer or minister of the congregation must record the delegates’ names on the Delegate Accreditation page of this web site before 11:30 AM on Tuesday, April 10, 2012. The congregation's username and password are required to enter the names. Log in here to reach your congregation's form. The username and password are in the official notice of the meeting which will be mailed to two officers of the congregation on March 7, 2012.
- Delegates who have NOT been listed on the web site by the April 10, deadline must bring to the conference a letter signed by the minister or an officer of their congregation stating the name of the congregation and the names of the delegates.
- Fellowshipped, settled, and interim ministers are automatically delegates. Please do not list them with the delegates selected by the congregation.
- People who will be delegates should also register like other conference participants. (The accreditation process above does not do that; it merely identifies who the voting delegates are.)
- Delegates who have been accredited on the Web site must also sign in at the Delegate table at the Conference before 7:30 AM on Saturday, April 14, 2012 to show that they are in attendance. They will then be given a delegate card to use in voting at the Business Meeting.
Additional Delegates
There are three other groups of delegates:
- Ordained ministers in full or associate ministerial fellowship with the UUA and are settled or interim in PSD member congregations are entitled to be delegates (in addition to the delegates selected by congregations).
- Ministers emerita or emeritus of member congregations who are in ministerial fellowship with the UUA are entitled to be delegates.
- Members of the PSD Board of Directors are entitled to be delegates.
Procedure for additional delegates:
- These delegates are automatically accredited and should not be listed with the congregational delegates.
- Persons who are delegates by their ministerial or Board member status should sign in at the Conference before 7:30 AM on Saturday, April 14, 2012 to show they are in attendance and will be given a delegate card to use in voting at the Business Meeting.
- All conference participants including delegates should complete a Registration to attend the Annual Conference.
